Meeting in coffee shops is fine for informal meetings and catch-ups, but not for professional meetings. They can be distracting, noisy and one never knows who might be listening to your conversation! Finding the perfect meeting room might sound like a daunting task, but it doesn’t have to be.

With a little bit of research and these three tips, you will be able to find a meeting space that provides a professional, comfortable, and pleasant experience for you and your client. If you want to set yourself apart from your competition in your client meetings, finding a professional space for your meetings is an easy way to show your commitment to your client.

1) Cost

In the Inland Northwest, the average cost for meeting space to accommodate up to 8 people is between $30.00 and $50.00 per hour. However, there are other factors to consider with the cost. Having to pay for unexpected fees is something that everyone dislikes. Check to see if there are additional charges for Wi-Fi, smart TV, internet, whiteboard, printing, water and coffee service, parking, and other equipment you might need.

Venues that serve food often require you to purchase food only from them and require minimum charges for that as well. Having the flexibility to bring in your own food or choose your own caterer is a big plus.

2) Location

Finding a location that is central and easy to find will get your meeting off to a good start. Venues with free and abundant parking should always be considered first. No one likes being burdened with circling around for parking and then feeding the meter if not absolutely necessary.

Some additional things to consider when choosing a location are ease of access to freeways or main arterials and traffic patterns during the time of day your meeting is scheduled. Safety is another factor to consider. You want your meeting participants to feel safe parking and walking into the building alone.

3) Professionalism

You have one chance to make a first impression. Choosing a professional meeting space can help you set the tone for how you conduct business. This applies when meeting with clients or employees.  By providing a professional, clean, business-like meeting space, the message is clear that you care about your employee and/or your client. Imagine meeting someone in a sub-standard location. What are your first thoughts?

Lastly, check with the venue to find out how far in advance you can book your meeting space. Are there penalties for canceling? If so, what are the penalties and cancellation requirements?
